This privacy policy contains information on what kinds of data we collect and process when you visit our website, the moments when data is collected, the purposes of data collection, as well as what rights you have as data subject. III. General information on data processing

1. Scope of personal data processing
We only process personal data to the extent necessary to provide a functional website and to provide our content and services, or in cases where you have consented to data processing, or in cases where data processing is permitted by law.

2. Legal basis for the processing of personal data
Insofar as we obtain the consent of the data subject for the processing of personal data, § 6 No. 2 DSG EKD serves as the legal basis.
Insofar as the processing of personal data is necessary for the fulfilment of the tasks of the university, § 6 No. 3 DSG EKD serves as the legal basis.
Where the processing of personal data is necessary for the performance of another task in the interest of the church, § 6 No. 4 DSG EKD serves as the legal basis.
Where the processing of personal data is necessary for the performance of a contract to which the data subject is a party, § 6 No. 5 DSG EKD serves as the legal basis. This also applies to processing operations that are necessary for the implementation of pre-contractual measures taken at the request of the data subject.

Insofar as the processing of personal data is necessary for the fulfilment of a legal obligation to which our university is subject, § 6 No. 6 DSG EKD serves as the legal basis.
In the event that vital interests of the data subject or another natural person require the processing of personal data, § 6 No. 7 DSG EKD serves as the legal basis.
Insofar as the processing of personal data is necessary to safeguard the legitimate interests of a third party, provided that the interests worthy of protection of the data subject do not prevail, § 6 No. 8 DSG EKD serves as the legal basis.

3. Data deletion and storage period
Personal data is stored in a form that allows the identification of the data subjects only for as long as is necessary for the purposes for which it is processed. Personal data may be stored for longer periods if this is necessary for archiving, scientific and historical research, and statistical purposes. Storage may also take place if this is provided for in laws or other regulations to which the university is subject. The data will be blocked or deleted when the storage period prescribed by the aforementioned standards expires, unless there is a need for further storage of the data.

IV. Provision of the website and creation of log files

1. Description and scope of data processing
Each time our website is accessed, our system automatically collects data and information from the computer system of the accessing computer.
The following data is collected:

  • Websites from which the user's system accesses our website
  • Date and time of access
  • The user's IP address
  • The user's operating system
  • Information about the browser type and version used

2. Legal basis for data processing
The legal basis for the temporary storage of data and log files is § 6 No. 4 DSG EKD.

3. Purpose of data processing
The temporary storage of the IP address by the system is necessary to enable the website to be delivered to the user's computer. For this purpose, the user's IP address must remain stored for the duration of the session. Storage in log files is done to ensure the functionality of the website. In addition, the data is used to optimise the website and to ensure the security of our information technology systems.

4. Duration of storage
In the case of data collection for the provision of the website, this is the case when the respective session has ended.
In the case of data storage in log files, this is the case after seven days at the latest. Storage beyond this period is possible. In this case, the IP addresses of the users are anonymised so that it is no longer possible to identify the accessing client.

5. Right to object
The collection of data for the provision of the website and the storage of data in log files is essential for the operation of the website. There is no right to object.

V. Use of cookies

Our website uses cookies. Cookies are text files that are stored in the Internet browser or by the Internet browser on the user's computer system. When a user accesses a website, a cookie may be stored on the user's operating system. This cookie contains a characteristic string of characters that enables the browser to be uniquely identified when the website is accessed again. Personal data is not stored.

VI. Email contact

Our website provides email addresses that can be used for electronic contact. The email addresses provided can be used for general communications. Please bear in mind when contacting us by email that all emails sent via the internet may also be read by unauthorised persons. Therefore, no confidential messages should be transmitted in this way.
The university does not currently use electronic signatures. Documents that require a ‘special written form’ and/or are subject to a deadline may therefore not be transmitted by email. Please send these documents by post or fax.

For security reasons, emails should be sent in text format whenever possible. Documents sent as attachments to emails should only be in commonly known formats and should not contain any file formats with executable code (.scr, .exe, .bat, .pif, .dll, .vbs). If such files are to be sent as attachments, they must be compressed (e.g. in ZIP, TAR, RAR or ARJ format). When you send us an email, your email address will only be used for correspondence with you.

1. Legal basis for data processing
The legal basis for data processing is § 6 No. 2 DSG EKD if the user has given their consent.
The legal basis for the processing of data transmitted in the course of sending an email is § 6 No. 4 DSG EKD. If the email contact is aimed at concluding a contract, the additional legal basis for processing is § 6 No. 5 DSG EKD.

2. Purpose of data processing
The processing of personal data serves solely to process the contact request. This is also the necessary ecclesiastical interest in the processing of the data.
The other personal data processed during the sending process serves to prevent misuse of the contact form and to ensure the security of our information technology systems.

3. Duration of storage
The data will be deleted as soon as it is no longer necessary for the purpose for which it was collected. For personal data from the input mask of the contact form and data sent by e-mail, this is the case when the respective conversation with the user has ended. The conversation is ended when it can be inferred from the circumstances that the matter in question has been conclusively clarified. The additional personal data collected during the sending process will be deleted after a period of seven days at the latest.

4. Right to object and right to erasure
The user has the right to revoke their consent to the processing of personal data at any time. In such a case, the conversation cannot be continued.

In this case, all personal data stored in the course of contacting us will be deleted.

VII. Plugins and tools

YouTube
Our website uses plugins from the Google-operated site YouTube. The operator of the site is YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.
When you visit one of our pages equipped with a YouTube plugin, a connection to the YouTube servers is established. This tells the YouTube server which of our pages you have visited.
If you are logged into your YouTube account, you enable YouTube to assign your surfing behaviour directly to your personal profile. You can prevent this by logging out of your YouTube account.

The use of YouTube is in the interest of an appealing presentation of our online offers. This constitutes a legitimate interest within the meaning of Art. 6 para. 1 lit. f GDPR.

VIII. Rights of the data subject

If your personal data is processed, you are a data subject within the meaning of the DSG EKD and you have the following rights vis-à-vis the responsible body:

1. Right to information
You have the right to request information from EvH Bochum about the personal data stored about you in accordance with § 19 DSG EKD. The information is provided free of charge.

2. Right to rectification
You have the right to rectification in accordance with Section 20 of the DSG EKD.

3. Right to erasure
You have the right to erasure in accordance with Section 21 of the DSG EKD.

4. Right to restriction of processing
You have the right to restriction of processing in accordance with Section 22 of the DSG EKD.

5. Right to notification
If you have asserted your right to rectification, erasure or restriction of processing, we are obliged to notify all recipients to whom your personal data has been disclosed of this rectification or erasure of the data or restriction of processing, unless this proves impossible or involves disproportionate effort.
You can request that we inform you about these recipients.

6. Right to data portability
You have the right to data portability in accordance with Section 24 of the EKD Data Protection Act (DSG EKD).

7. Right to object
You have the right to object at any time to the processing of personal data concerning you in accordance with Section 6(1), (3), (4) or (8) of the DSG EKD for reasons arising from your particular situation. 8. Right to revoke your declaration of consent under data protection law
You have the right to revoke your declaration of consent under data protection law at any time. Revoking your consent does not affect the legality of the processing carried out on the basis of your consent prior to revocation.

9. Right to lodge a complaint with a supervisory authority
Without prejudice to other legal remedies, you have the right to lodge a complaint with the supervisory authority in accordance with Section 46 DSG EKD if you believe that your rights have been violated in the processing of your personal data. The tasks of data protection supervision are performed by the Data Protection Officer of the Evangelical Church in Germany (BfD EKD). The regional branch office of the BfD EKD in Dortmund is responsible for data protection enquiries concerning EvH Bochum.
